APPLICATION

Early bird deadline is May 1, at 5:00 pm. After this time a late fee will be applied to the entry fee. The final deadline is Friday, May 7th at 5:00 pm. There is a limit of 500 teams; applications turned in after the 500 team limit has been reached will be put on a waiting list in the order in which they are received and team captains will be notified if any space becomes available. Persons under 18 must have a parent or guardian sign their online or paper entry form. No entry form will be processed unless it is completely filled out.

REFUND POLICY: No refunds will be given unless there is a waiting list of teams over the 500 level that want to race.  If a team is found from the Ski to Sea Waiting List that wants to take your place, then a refund will be given minus a $50 service fee.

WAITING LIST: The only way a team gets placed on the Waiting List is if: 500 teams have already paid their team registration fees AND your team also pays the registration fee.  Teams are moved off the Waiting List in the order that they have paid their team registration fees.  Simply "registering" your team while not paying your team registration fee does not get it on the Waiting List. Any team on the Waiting List that does not get into the race will be given a refund, minus a 50 service fee.

NOTE: Applications will be filed online, but not accepted until payment and signed hold harmless agreements from ALL team members have been verified. Paper applications are available from the Ski to Sea Office and carry an extra $25 administrative fee. Please pick up and return completed paper application to: Ski to Sea Race, Whatcom Events, 2227 Queen Street, #6 Bellingham, WA 98229. Mailing address: PO Box 2011, Bellingham, WA 98227. Phone (360) 746-8861 or Fax (360) 746-8862

SUBSTITUTIONS
Substitutions must be made online by the team captain ONLY. All substitutions must be made by the end of race day (5/27) to have the correct name in the paper. There will be paper substitution forms at the race. It is the sole responsibility of the team captain to ensure that the correct names are submitted online.

Teams needing to make substitutions of team members must complete the substitution form (posted online at SkiToSea.com) and send to the Ski to Sea Race, Whatcom Events. All spaces (including survey questions) on entry form must be filled out clearly (print or type) for the substitution to be entered in the race.

ENTRY FEE
If the completed application is returned to the Ski to Sea office on or before Friday, May 1, 2012 at 5:00 pm, the entry fees are $439 per team and $485 per corporate division. Applications received after 5:00 pm, May 1st, will be charged $529 per team and $575 per corporate division team. All applications must be turned in by Monday, May 7th. These prices apply to online entries only. There will be a $25 administrative fee for all manual applications. Manual applications can be dropped off at the Whatcom Events, Ski to Sea office at 2227 Queen Street #6, Bellingham, WA 98229. Online payment must be debit or credit card, one payment per team. Note on Race Fees: The Ski to Sea Race has not raised its basic entry fees.  The small increase over the 2011 rates are because the Washington State Department of Revenue has informed the Ski to Sea Race that retail sales tax must now be collected on team entry fees.  The fees shown above include all sales tax.

PARTICIPANTS
The Ski to Sea Race is a relay race open to all persons 15 years or older. The relay consists of cross-country skiing, downhill skiing or snowboarding, running, biking, canoeing, mountain biking and sea kayaking. A team will consist of one person for each leg of the race, except for the canoe leg (2 paddlers per canoe). A person may compete on only one team, and in only one leg of the race. A team will be disqualified if one or more of the race legs are not completed. However, remaining race legs may be completed and times will be recorded. The Ski to Sea Race does not allow individuals to complete all the legs of the race, as in Iron Man and anyone found competing in more than one leg of the race will be removed from the course.  The Committee reserves the right to disqualify any team who does not abide by established race rules or whose equipment is deemed to be unsafe for the event in which the person is entered. A team may also be disqualified if any team participant or affiliate displays unsportsmanlike conduct or brings illegal equipment into the exchange points.

RACE
The race will begin at 7:45 am at Mt. Baker Ski Area. Racing bibs will be color coded  between Competitive and Recreational Divisions A wristband must be passed between teammates at each leg exchange of the race. A team will be disqualified if it does not finish the race with its team wristband. All participants must wear a bib designating the team number with the number clearly visible. For the safety of all participants, based on the judgment of the course monitors, if sufficient forward progress has not been made the racer will be disqualified and removed from the course. Any discrepancies will be addressed by the Race Committee. Decisions are final the day of the race.

TEAM RACE PACKETS
Team Race Packets MUST be picked on the days listed below. Location and Times To Be Announced. Bellingham, WA‎ - (360) 746-8861.
Friday-May 25, 2012 or Saturday, May 26, 2012.

RESULTS
It is important for all racers to show their bib numbers when crossing the exchange areas. Timing of individual legs may vary based upon exchange area layout. Therefore, personal time kept by racers may not correspond with official results.

CHIP TIMING FOR 2012
1. Each team will be assigned one timing chip that will be included in and picked up with their race packet. This chip is associated with your team bib number and cannot be switched with any other chip.  This timing chip is to be treated as if it were a baton, by being passed from one team member to the next during the event. NO CHIP—NO TIME.
2. A Chip Timing test will be made during Race Packet pickup.
3. The team member participating in the Cross-Country Ski leg will wear the chip. The way in which you wear the chip is really up to you. Each racer should secure the chip on their being in a way where it will not be lost. Team Members are responsible for securing the chip in a manner suitable for their leg of the race. If you flip in the river, your chip should be ATTACHED to you and not sinking to the bottom because it was loose in the canoe.
4. Once a team member finishes their leg of the race, there will be a finish line and a chip timing trigger area clearly marked with orange cones. As you cross the finish line of your leg you should have the chip in your hand, ready to pass to your next TEAM MEMBER. This year there will be no need to stoop while passing the chip. The chip sensors will be set up so that participants will be able to proceed through the timing gate normally. It is your responsibility to make sure your chip is recorded and passed off to your Next Leg Team Member. For information about how chips are handed off at each leg, see details of race legs. Check your Racers Information Packet for up-to-date Chip Timing information.
5. The last team member must return the timing chip after they cross the finish line in Marine Park. There will be volunteers to collect the timing chips. The timing chip is the responsibility of the team.

COMPETITION PROTEST PROCEDURE & RULES
Upon completion of his/her venue (leg) of the race, the racer has fifteen (15) minutes to notify the designated race official at the exchange area of his/her intent to protest and to request an official protest form. A protest may only be made by and against racers in the same venue (leg).

The official protest form will require information regarding the incident including witnesses for verification by the Ski to Sea Race Committee. The protester will be required to fill out the official form and turn it in to the Ski to Sea Race Protest committee with a $20 fee at the finish area (Marine Park) within thirty (30) minutes after the completion of the race by their team.

A quorum of the Ski to Sea Race Committee will be responsible for the final decision regarding any protest, including any notification by race officials or race monitors who have documented violations of race participant and those not specified in the race guide. Upon completion of the review, the $20.00 will be forfeited to the Ski to Sea Race if the protest is denied or refunded if it is upheld. The Protest Committee’s decision is final and unsportsmanlike conduct by any race team or their affiliates will disqualify that team from the race.

RACER CONDUCT

The Ski to Sea Race Committee would like to thank each racer for their participation in the 2012 Ski to Sea Race. Each year, you, the participants, have made the race an exciting and growing success.
